How to share a read-only inbox for one email address
Domainote can create a read-only link for one recipient address. A share includes that address’s existing and future messages and attachments. Other recipient addresses are outside its scope.
A share covers an address, not one message
Sharing project@your-domain.com lets visitors view messages delivered to that address. It is not a snapshot of one email: subsequent messages also appear while the share remains valid.
Review existing messages and the address’s future purpose before sharing. Anyone holding a valid link can access it without registering. Give the link only to people you trust.
What can a visitor do?
Visitors can search mail, read message bodies and download attachments. Access is read-only and does not change unread status in your workspace or expose other recipient addresses.
Sending and replies are unavailable in the current release. A share does not create a separate team mailbox account or grant access to all your domains and mail.
Set an expiry or revoke access
When creating a share, choose a number of days or leave it open-ended. Revoke it in the workspace when the task is finished to stop access through the old link.
Creating a new share for the same address invalidates the previous link. Expiry and revocation stop later access, but cannot retrieve messages or attachments that visitors have already downloaded or saved.
Choose an address with a clear purpose
Use a dedicated prefix for a specific purpose, such as project documents or order updates, so the sharing scope is easy to review. Keep password resets, account verification and other sensitive mail separate from addresses used for collaboration.
If you only need to deliver one message, first decide whether you want to share the address’s whole history and subsequent mail before creating an inbox link.
